Annual General Meeting

Minutes of AGM held on 13 April 2024

  1. Tony Harris, LVH Secretary, welcomed attendees and gave apologies from Jean Gomm, Keith Judkins and Jayne Wignall.
  2. The Minutes of the last AGM held on 14 April 2023 were duly received.
  3. The Secretary, Tony Harris, presented his annual report on the activities of the hall during the course of the year 2023:
    • Income levels were c. 80% of pre-pandemic levels, whilst costs continued to rise.
    • There were many costly maintenance items on the horizon; following the new hall windows and fire doors in 2023, costing c£17,000.
    • Committee membership was low and falling, and there was a shortage of officers.
    • Annual events during the year had been very successful, especially the Secret Gardens event.
    • Tony thanked all committee members and the hall’s neighbours, in addition to the hall cleaning provider.
  4. In the absence of the Treasurer, Tony also presented the Treasurer’s report. Some questions on that report were then put and discussed:
    • Anne Clegg asked if the committee could reinstitute the grant aid scheme and Alan Clegg offered to discuss with Keith Judkins.
    • Andrew Hicks mentioned that the hall was available for one-off bookings.
    • Jose Harris suggested an external advertising banner.
  5. Appointment of External Examiner. It was approved the Alan Clegg be appointed to examine the accounts for 2024.
  6. Election of Members for 2024/25. The Secretary outlined the position regarding committee membership and it was moved and approved that the following be elected onto the hall committee for the ensuing year.
    • Sue Adams, Jean Gomm, Keith Judkins, Tony Harris, Andrew Hicks, Anne Hicks, Debs Humphreys and Jayne Wignal
  7. In addition ,it was moved by Geoff Plowman that the Constitution be amended in accordance with the procedure set out by the Charity Commission, that the Governing Body of the local CoE Primary School representative be replaced by a representative from the user groups not already represented on the committee. This motion, having been advertised around the village for a period of at least 4 weeks, was duly carried by the requisite 75% of attendees at the meeting.
  8. Open Discussion. Geoff Plowman asked if any ideas had been put forward for a centenary event. In response it was reported that following a request for ideas from villagers in the September newsletter, no ideas or responses had been received and accordingly officers were considering a possible event.
  9. There being no further questions. The meeting was duly closed at 19.00.
